- Hi Dana, to move your National Insurance claim forward we need two documents: the BL/250 form from your employer, and the first medical certificate from your health fund. Just snap a photo and send it here.10:42

- Got it, thanks! It's been sent to the office for review. Only the BL/250 form from your employer is left.10:42

Today vs. tomorrow
Where your office's time goes today
Chasing documents
Today
The office manager calls, sends a WhatsApp from a personal phone, waits, and calls again. Every case, every week.
With Zapidly
Each case type has a defined list of documents and stages. Requests and reminders go out on their own, from the firm's number.
Information scattered across tools
Today
A spreadsheet, a Drive folder, the case system and a few WhatsApp groups. Nowhere says what's waiting on whom.
With Zapidly
One screen for every case: current stage, how many documents are missing, and when the client was last contacted.
The same questions, again and again
Today
"Did you get my document?", "What else is missing?", "Where's my case at?" Each one interrupts legal work.
With Zapidly
Clients get an instant answer on WhatsApp about status and general questions. Legal questions go to you, with full context.
Cases that drag on
Today
A partial document is discovered two weeks later and the case waits. Paperwork, not the law, sets the pace.
With Zapidly
Documents are reviewed the moment they arrive. A rejection with a reason goes back to the client automatically, and the case advances once everything is approved.

Clear boundaries
The agent runs the communication. Decisions stay with you.
Legal work leaves no room for guessing. So we define up front what the agent does, and what it always hands to a professional.
What the agent does
- Explains which document is needed and why
- Confirms receipt and updates when a document is approved
- Sends reminders on your firm's schedule
- Answers general questions and case status
What it doesn't do
- No legal advice or legal answers
- No opinions on the case
- No analysis of document contents
- Never approves a document for you
Permissions & audit trail
Microsoft work-account sign-in
Only firm staff get in. Someone who leaves loses access immediately.
Identity check before upload
Phone number matched to the ID on file for the case.
Undeletable activity log
Every approval, rejection, message and file is logged with user and time.
Encrypted cloud storage
Access limited to firm staff, with two roles: office manager and professional approver.
The value for your firm
Less paperwork. More legal work.
Your office manager gets time back
Far less time spent collecting documents and answering questions about them. That time goes back to work that needs a person.
Clients feel looked after
Instant replies, a clear explanation of what's needed and why, and an update at every step. A professional experience clients notice.
One status view
A single tool that shows exactly where every case stands on information gathering, without asking anyone.
Cases move faster
Documents reviewed on arrival and fix requests sent immediately cut the average time a case takes.
Works alongside your practice-management system, whether Adcanit, Cligal or Law One, not instead of it. Time tracking, billing and everything that already works there stays there.

FAQ
Common questions — Law firms
No. The agent runs the communication around the case: what's needed, what arrived, what the status is. Every legal question, opinion or professional decision goes to someone in the office, with the full conversation context.
No, it complements whatever you already run: Adcanit, Cligal or Law One. New cases are pulled from it once a day, approved documents are pushed to it, and when a case closes it stays the archive and source of truth. Time tracking, billing and everything else stay there.
Your firm's WhatsApp Business account, from a single number. It can be your main line or a dedicated one. The first message explains how communication will work and lets the client ask for phone handling instead.
Before any upload, the system checks the phone number matches the ID on file for the case. Every action is written to an activity log that can't be deleted.
Rare, but it happens. The case is marked for manual handling, the office scans and uploads for them, and the case status lives in the same place as every other case.
Yes, in the Workflows screen. Changes apply to new cases; active cases continue on the process they started with, so no client gets conflicting requests.
